This Privacy Policy covers the Online Presence Concierge client portal only, a business tool for Online Presence Concierge clients to manage their own calls, leads, and reviews. It is separate from the Privacy Policy that governs MovingToSeniorLiving.com, our public senior services directory. If you are a consumer visiting that site, this document does not apply to you.
1. Introduction
This Privacy Policy explains what information Senior Media Group LLC ("we," "us," "our") collects through your use of the Online Presence Concierge client portal, our AI answering service, and related tools, and how that information is used, stored, and shared, for professionals who have signed a Concierge Service Agreement ("you," "Client").
2. Information We Collect
- Account Information: your name, business name, email, phone number, and login credentials for the portal.
- Call Data: calls to your business's designated number may be answered by our AI voice agent. This includes call audio, AI-generated transcripts, and caller-provided information (name, callback number, reason for calling).
- Lead and Contact Data: information your callers, website visitors, or form submitters provide, which is stored in your CRM within the portal so you can follow up.
- SMS and Messaging Data: content of automated follow-up texts and review requests sent on your behalf, and any replies received.
- Calendar and Appointment Data: bookings made through your portal's scheduling tools.
- Payment Information: your setup fee and recurring retainer are processed through Stripe. We do not store your card details on our own servers.
3. Call Recording, Transcription, and AI Processing
Calls answered by our AI voice agent may be recorded and transcribed to deliver the service (capturing caller information, generating call summaries, and improving answering accuracy). Recordings and transcripts are processed using third-party AI voice and language-model providers integrated into our platform.
You, the Client, are responsible for ensuring your own compliance with call-recording consent laws in the states or jurisdictions where your business operates and where your callers are located. Several states require notice to, or consent from, all parties on a call before it can be recorded. This obligation sits with you as the business being called, not with Senior Media Group, since you control what number is publicized and to whom. We provide the capability; you're responsible for how it's disclosed to your own callers.
4. How We Use Your Information
- To operate and deliver the Concierge service: call answering, lead capture, follow-up messaging, review requests, and scheduling
- To generate the summaries and reports shown in your portal dashboard
- To respond to your support requests and manage your account
- To improve the accuracy and reliability of our AI answering service
- To send you service-related communications (billing, service updates, scheduled check-ins)
We do not use your call, lead, or contact data for our own marketing purposes, and we do not sell it.
5. Data Retention
- Call recordings and transcripts are retained for the duration of your active Concierge engagement, and for up to 90 days after termination, to allow for a smooth CRM handoff or data export, unless you request earlier deletion.
- Lead, contact, and messaging data in your CRM is retained for as long as your account is active, and for up to 90 days after termination for the same reason.
- Account and billing records are retained as required for our own tax and accounting purposes.
6. Third-Party Services
We use the following third-party providers to deliver the Concierge service:
- GoHighLevel (HighLevel Inc.): the underlying platform powering your portal, CRM, calendar, AI voice answering, and messaging.
- AI voice, transcription, and language-model providers integrated through GoHighLevel: process call audio and generate transcripts and responses as part of the AI answering service.
- Stripe: processes your setup fee and recurring retainer payments.
These providers have their own privacy and security practices. We select and configure them, but do not control their underlying infrastructure.
7. Data Sharing
We do not sell, trade, or rent your data or your callers' data to third parties. We share data only with the service providers listed above, as needed to deliver the Concierge service, and as required by law.
8. Data Security
We use reasonable administrative and technical safeguards to protect your data, consistent with the security practices of the platform providers listed above. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
9. Your Rights
You may request access to, correction of, or deletion of your account, call, lead, or contact data by contacting us. We will respond within a reasonable timeframe, subject to the retention needs described in Section 5.
10. Children's Privacy
This portal is a business tool intended for professional use and is not directed at children. We do not knowingly collect information from children under 13 through this portal.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify active Clients of material changes and update the "Last updated" date above.
12. Governing Law
This Privacy Policy is governed by the laws of the State of Texas, without regard to its conflict of law provisions.
